EdTech Training – Data Privacy Policy

1. Overview

EdTech Training is committed to protecting the privacy and security of user data and institutional data. This Privacy Policy describes what information is collected, how it is used, how it is protected, and how EdTech Training complies with applicable privacy regulations including the Family Educational Rights and Privacy Act (FERPA).

This policy applies to users of the EdTech Training Platform, including individual learners, educational institutions, and organizational partners.

2. Information Collected

The EdTech Training Platform collects only the minimum information necessary to provide training, skill validation, and reporting services.

The platform may collect and store the following information:

User Account Information

  • First and last name

  • Email address

  • Organization name (if applicable)

  • User role (learner, administrator, organization manager)

  • Account creation date and last login timestamp

 

Training and Progress Data

  • Course enrollments

  • Task completion status

  • Task evaluation results

  • Scores and progress tracking

  • Skill validation results

  • Course completion records

 

System Usage Data

  • Log data related to user activity within the platform

  • Timestamps for user actions

  • Administrative action logs

 

Integration Data (when applicable)

  • Canvas user ID and course ID

  • Google file IDs or metadata used for training tasks

 

Payment Information
EdTech Training does not collect or store payment card information. All payments are processed securely through third-party payment processors (such as Stripe), which handle payment data in accordance with their own security and compliance standards.

The platform is not designed to collect or store sensitive personal data such as Social Security numbers, financial account information, or medical records.

 

3. How Information Is Used

Data collected by the platform is used only for the following purposes:

  • Providing training services

  • Evaluating task completion

  • Tracking learner progress

  • Reporting progress to learners and authorized organizations

  • Providing customer support

  • Improving platform functionality and reliability

 

EdTech Training does not sell personal data to third parties and does not use personal data for advertising purposes.

4. Data Sharing and Subprocessors

EdTech Training uses a limited number of third-party service providers to support platform functionality. These providers may process data on behalf of EdTech Training under data protection agreements.

These service providers may include:

  • Microsoft Azure (cloud hosting)

  • Supabase (database and authentication)

  • Google Workspace (email delivery)

  • Canvas LMS (integration for training tasks)

  • Google APIs (integration for training tasks)

  • OpenAI API (AI-assisted feedback features, if enabled)

 

Only the minimum data necessary is shared with these providers to support platform functionality.

5. Data Security

EdTech Training uses industry-standard security measures to protect data, including:

  • Encryption in transit using HTTPS/TLS

  • Encryption at rest through managed cloud providers

  • Role-based access control

  • Least-privilege access for administrators

  • Secure authentication and password management

  • System logging and monitoring

  • Regular system updates and security patches

  • Backup and disaster recovery procedures

 

The platform maintains system and activity logs to support security, troubleshooting, and system performance monitoring.

6. Data Retention

EdTech Training retains data only as long as necessary to provide services and meet contractual or legal obligations.

Organizations may request deletion of user data in accordance with contractual agreements and applicable privacy regulations. Individual users may request deletion of their account and personal data.

Upon account deletion, personal data will be deleted or anonymized within a reasonable timeframe, unless retention is required for legal, reporting, or contractual obligations.

7. FERPA

When EdTech Training is used by educational institutions, the platform may store student education records such as course enrollment, progress, task completion, and assessment results. These records may be considered education records under FERPA.

EdTech Training acts as a “school official” under FERPA and processes student data only for legitimate educational interests as defined by the institution. Access to student data is restricted to authorized users and administrators and is protected through role-based access control and encryption.

EdTech Training does not sell student data and does not use student data for advertising.

8. HIPAA

The EdTech Training Platform is not designed to store or process Protected Health Information (PHI). Users and organizations are instructed not to upload medical records or patient data into the platform.

If the platform is used in a healthcare training environment, it is intended for training and skill validation only and not for storing patient data. Additional agreements and safeguards may be implemented if required by contract.

9. User Rights and Data Requests

Users and organizations may request access to, correction of, or deletion of personal data by contacting EdTech Training.

10. Changes to This Policy

EdTech Training may update this Privacy Policy periodically. Updates will be posted with a revised effective date.

12. Children’s Privacy

The EdTech Training Platform is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that such data has been collected, it will be deleted.
